By submitting an application, participating in the competition, submitting artwork, or accepting an award, the artist acknowledges that they have read, understood, and agreed to these Official Rules & Terms.

2. Eligibility

Participation is open to artists who meet the eligibility requirements published for the applicable competition.

Artists are responsible for providing accurate and complete information in their application.

Urban Art Studio 101 reserves the right to request additional information or clarification regarding an application or artwork where reasonably necessary.

3. Application and Selection

Submission of an application does not guarantee acceptance, finalist status, participation, or an award.

Applications may be reviewed according to the criteria established for the applicable competition.

Urban Art Studio 101 reserves the right to determine whether an application meets the published requirements.

Incomplete, inaccurate, misleading, or ineligible applications may be rejected.

4. Original Artwork and Artist Responsibility

Each artist confirms that the artwork submitted is their original work and that they have all necessary rights, permissions, and authority to submit the artwork.

Artists are solely responsible for any copyright, trademark, image-rights, model-release, or other intellectual-property issues associated with their artwork.

Urban Art Studio 101 is not responsible for disputes arising from an artist’s failure to obtain the necessary rights or permissions.

If an artwork is found to violate copyright, intellectual-property rights, competition requirements, or other applicable rules, Urban Art Studio 101 reserves the right to remove the artwork from consideration or participation.

5. Artwork Requirements

Artwork must comply with the requirements published for the specific Canadian Legacy competition.

Artists are responsible for ensuring that their artwork:

  • Meets the required dimensions and presentation standards;
  • Is properly prepared for exhibition or judging;
  • Is accurately described in the application;
  • Is submitted within the applicable deadline; and
  • Meets all applicable competition requirements.

Urban Art Studio 101 may decline artwork that does not meet the published requirements.

Urban Art Studio 101 may request clarification or documentation where necessary to determine eligibility for a category.

7. Judging

Artwork will be evaluated according to the criteria established for the applicable competition.

Judging may consider artistic quality, originality, composition, technique, interpretation, creativity, presentation, and other criteria appropriate to the competition.

The organizers reserve the right to establish or modify reasonable judging procedures where necessary for the successful operation of the competition.

Judges’ decisions are final.

Urban Art Studio 101 does not guarantee that an artist will receive a particular score, ranking, recognition, or award.

8. Awards, Prizes, Certificates and Trophies

Awards, prizes, certificates, trophies, medals, and other forms of recognition are provided according to the applicable competition announcements and available awards.

Awards are made to the artist identified in the official competition records.

Certificates, trophies, prizes, and other awards do not create any obligation for Urban Art Studio 101 to provide shipping or delivery services.

Artists who are unable to attend the awards presentation or Gala are responsible for contacting Urban Art Studio 101 in advance and arranging an appropriate method of collection.

Unless otherwise confirmed in writing, artists are responsible for collecting their own awards, certificates, trophies, prizes, and other belongings.

Unless another arrangement has been confirmed in writing with Urban Art Studio 101, all artwork must be collected within:

7 CALENDAR DAYS FOLLOWING THE EVENT

Artists are responsible for making their own transportation and collection arrangements.

If an artist cannot personally collect their artwork, the artist may arrange for an authorized representative to collect it on their behalf.

The artist remains responsible for ensuring that their representative collects the artwork within the required collection period.

Artists are also responsible for collecting:

  • Certificates;
  • Trophies;
  • Medals;
  • Prizes;
  • Artwork;
  • Display materials belonging to the artist; and
  • Any other personal belongings left at the Studio or event location.

Failure to attend the awards presentation or Gala does not transfer responsibility for collection to Urban Art Studio 101.

Artists should contact the Studio in advance if they anticipate being unable to attend an awards presentation or collect their property within the required period.

11. Shipping and Delivery

Urban Art Studio 101 is not responsible for arranging or paying for shipping, courier services, transportation, or delivery of artwork, awards, certificates, trophies, prizes, or personal belongings.

If an artist requests shipping or delivery assistance, Urban Art Studio 101 may, at its discretion, provide information about possible arrangements. Any such arrangement must be separately confirmed in writing and may involve additional costs to the artist.

Artists are responsible for any shipping, packaging, transportation, insurance, or courier costs associated with collecting their property.

12. Unclaimed Artwork and Property

Artists are given a reasonable opportunity to collect their artwork and belongings within the stated collection period.

The collection deadline is 7 calendar days following the event unless another arrangement has been confirmed in writing.

After the collection deadline, any artwork, certificate, trophy, prize, display material, or personal belonging remaining at Urban Art Studio 101 may be considered unclaimed property.

After reasonable notice, Urban Art Studio 101 reserves the right to:

Artists are responsible for ensuring that artwork is appropriately prepared, packaged, transported, and presented.

Urban Art Studio 101 will take reasonable care in handling artwork within the normal operation of the event. However, to the extent permitted by applicable law, Urban Art Studio 101 is not responsible for loss, damage, deterioration, or other issues arising outside its reasonable control.

Artists are encouraged to maintain their own records, photographs, and appropriate insurance coverage for valuable artwork.

Nothing in these Terms is intended to exclude or limit any liability that cannot legally be excluded or limited under applicable law.

14. Photography, Video and Promotional Use

By participating in the Canadian Legacy competitions, artists may be photographed or recorded during competition activities, exhibitions, demonstrations, awards presentations, Gala events, or related activities.

Where an artist provides promotional consent, Urban Art Studio 101 and The Canadian Legacy may use the artist’s name, artist information, artwork images, photographs, and videos for promotional, educational, archival, website, social-media, and media purposes.

Any optional promotional consent provided through the application form is separate from acceptance of these Official Rules & Terms.

15. Copyright and Intellectual Property

Artists retain ownership of the copyright in their original artwork unless they separately agree otherwise in writing.

Submitting artwork to the competition does not, by itself, transfer ownership or copyright of the artwork to Urban Art Studio 101.

Artists grant only the permissions expressly provided through the competition application, promotional consent, or other written agreement.

Artists are responsible for ensuring that their submission does not infringe the rights of another person or organization.

16. Changes to the Competition

Urban Art Studio 101 reserves the right to make reasonable changes to competition schedules, locations, procedures, judging arrangements, exhibitions, awards presentations, or other event details when circumstances require.

Where reasonably possible, participants will be informed of significant changes.

Changes may be necessary due to weather, venue availability, safety concerns, technical issues, emergencies, government requirements, or other circumstances beyond the organizer’s reasonable control.

17. Cancellation or Interruption

Urban Art Studio 101 reserves the right to postpone, modify, suspend, or cancel an event or portion of an event where circumstances make it impractical, unsafe, or impossible to proceed as originally planned.

This may include severe weather, emergencies, venue issues, public-health requirements, technical problems, or other circumstances beyond the organizer’s reasonable control.

18. Disqualification

Urban Art Studio 101 reserves the right to disqualify an artist or remove artwork from consideration where there is reasonable evidence of:

  • False or misleading information;
  • Ineligible artwork;
  • Copyright or intellectual-property violations;
  • Failure to meet competition requirements;
  • Misrepresentation of artistic experience or category eligibility;
  • Plagiarism or unauthorized use of another person’s work;
  • Conduct that materially disrupts the competition or event; or
  • Other serious violations of these Official Rules & Terms.

Where appropriate, awards or recognition may be withdrawn if an artist is subsequently found to have been ineligible or to have violated the competition rules.

Participants are expected to conduct themselves respectfully and professionally toward other artists, judges, volunteers, staff, guests, and members of the public.

Urban Art Studio 101 reserves the right to take reasonable action where conduct materially interferes with the safe or professional operation of the event.
